How to Create a Calendar Event QR Code

A Calendar Event QR code encodes event details — title, location, description, start time, and end time — in the standard iCalendar format. When scanned, the user's device prompts them to add the event directly to their calendar app.

Why Use a Calendar Event QR Code?

Getting people to remember and show up to events is one of the biggest challenges for organizers. A Calendar Event QR code solves this by letting attendees add the event to their calendar in seconds — complete with the correct date, time, location, and description. No manual entry, no typos, no forgotten details.

Because the event is saved directly to the user's calendar, they'll receive automatic reminders from their device, which significantly improves attendance rates compared to flyers or verbal announcements alone.

Step-by-Step Instructions

  1. Log in to your QRSpike account and go to your Dashboard.
  2. Click Create QR Code.
  3. Select Calendar Event from the QR code type dropdown.
  4. Enter a name for your QR code.
  5. Enter the Event Title (up to 50 characters). This is the name that will appear on the user's calendar.
  6. Optionally enter an Event Location (up to 128 characters) and an Event Description (up to 128 characters) to provide additional context.
  7. Set the Start Date and Start Time using the date picker and hour/minute/AM-PM selectors.
  8. Set the End Date and End Time the same way. The end date must be after the start date.
  9. Customize the Color, Background Color, Icon, and Border settings.
  10. Click Preview to review the appearance.
  11. Click Save.
